TRIP POLICIES

CODE OF CONDUCT

Provided below are strict guidelines to be adhered to by all guests of Beyond Uganda.  Recognizing and accepting the following guidelines will enhance the effectiveness and safety of your short-term mission trip.  Please read the following information THOROUGHLY before agreeing to the terms listed below.

SPIRITUAL PREPARATION

  • I commit to praying daily for my trip.
  • I will also ask friends, family and church to commit my trip to prayer.
  • I will read all Beyond Uganda pre-trip materials and incorporate the provided devotionals into my spiritual preparation.
  • I will make every effort to attend ALL scheduled meetings that are vital to my preparation and knowledge of my trip unless other arrangements are made with my Trip Leader.

FINANCIAL PREPARATION

  • I recognize that all funds donated/paid toward my trip are non-refundable/non-transferable. In the unfortunate event I am unable to attend this trip, I will notify Beyond Uganda immediately and all funds raised for my trip will be allocated toward the remainder of the total group cost.
  • I understand that I am responsible for the entire cost of my trip and if for any reason I am unable to attend the trip, the support I raised will go towards the team.
  • I agree to take an active role in my support raising and take personal responsibility if I do not raise all my support. I can raise support through asking for financial support from friends and family, personal finances, and through fundraising drives.
  • I recognize that Beyond Uganda has set deadlines for documents and finances and I will submit all required documents/finances on time to Beyond Uganda to prevent any delay in finalizing the trip process.

 

PERSONAL CONDUCT & COMMITMENTS WHILE TRAVELING IN UGANDA

Respect for the country and people of Uganda

  • I will refrain from giving or promising any gifts, such as money, clothes, jewelry, electronics, etc. to any of the locals, staff, or children. If I feel compelled to give a gift to someone I have met, I will consult first with the Beyond Uganda staff and my Team Leader, and I agree to let him or her make the final decision on the matter.
  • All of my photo images of the children and staff at Beyond Uganda will be used as a personal record of my trip experience. I agree not to use them for any promotional, commercial, or other purpose without written permission from a Director at Beyond Uganda.
  • When off-site of the Beyond Uganda campuses, I will be discreet when taking pictures, remembering that I am a guest in another country and I’m not there to observe and document poverty.
  • All photos of children and staff at Beyond Uganda should only be taken after I have built a relationship with the individual. If that individual does not wish to have their photo taken, I agree to respect their wishes.
  • I will not request or gather personal contact information from the locals or Beyond Uganda staff. I will not provide my personal contact information to the locals or staff, if requested.

Your short-term mission team and the BEYOND UGANDA staff/organization

  • I understand that our team’s work is an opportunity to witness the mission that Beyond Uganda is trying to accomplish and will respect the advice I am given concerning attire, eating and drinking, and other such traditions, which will help me to assimilate into the local community.
  • I recognize that Beyond Uganda has a long-term commitment to the local community and I promise not to be overly demanding, to do my best not to offend or cause embarrassment for the locals or my team, and to do my best to help them attain their long-term goals.
  • I will go as a servant-disciple of Jesus Christ and will adopt that attitude when dealing with my fellow team members and the people I meet during the trip.
  • I understand that travel can be difficult and I promise to adopt a flexible attitude and be supportive, as plans may need to be changed. I accept and submit to the leadership of the missionary staff and promise to abide by his or her decisions as they concern this trip.
  • If a loved one or dear friend is traveling with me, we agree to interact with all the members of the team, not just one another. I promise not to initiate or seek new romantic relationship with team members, Beyond Uganda Staff, or locals during the trip.

Personal behavior

  • I accept that I may not have the same conveniences I am used to at home. I will be flexible and willing to adjust to the expectations of my host.
  • I will adopt an attitude that I am on this team to try to understand the host culture, not to try to convince them of my own viewpoint or style. I acknowledge that there are many different ways to accomplish the same objective and that my way may not be the best.
  • I will abstain from making derogatory comments or arguments regarding people, politics, sports, religion, race or traditions.
  • I will abstain from using tobacco or alcoholic beverages while in the host country and during all travels, including flights to and from our host country. I will abstain from any illegal drugs or prohibited activity while on this trip.
  • I acknowledge that by engaging in this journey, I am subjecting myself to certain risks voluntarily, including and in addition to those risks that I normally face in my personal and business life. These risks may include, but are not limited to such things as health hazards due to poor food and water, diseases, pests, and poor sanitation, potential danger from lack of control over local population, potential injury while working, and inadequate medical facilities.
  • I agree that in the event my conduct is considered so unsatisfactory that it jeopardizes the success of the trip, and that mediation during the trip has failed to correct my behavior, that my services in connection with this mission trip shall end and I shall return home immediately at my own expense.

 

ACCEPTANCE OF PERSONAL CODE OF CONDUCT AND COMMITMENTS

By submitting registration for a trip, you are stating that you accept the above conditions, and will be responsible for your own actions during the entire length of the trip and trip planning process.

FINANCIAL POLICIES (2018 TRIPS)

MISSION EXPERIENCE PROJECT FEE

$950 Per Person

*Specialty Trips will vary in cost, contact the Trip Administrator for specific details

AIRFARE

Beyond Uganda (BU) will reserve airfare for groups and flight pricing varies on the season of travel and time of booking so airfare can not be set but will be determined at least 3 months prior to departure. Flights that need specialty timing outside the groups set schedule will have to be purchased by the individual and approved by the Trip Leader. Group flights reserved by BU will not be booked until all funds have been submitted to the Beyond Uganda.

HOLD DEPOSIT

A $400, non-refundable, non-transferable payment can hold a spot on an available trip. This payment is due upon registration.

FLIGHT DEPOSIT (FOR GROUPS OF 10 OR MORE)

A non-refundable, non-transferable flight deposit of $1,000 per traveler is due no later than three months (90 days) prior to the trip departure date (OR upon registration if registering within three months of the trip departure date). If the payment is not made by the required date the held spot will be open to the public for other reservations. Individual trip financial deadlines may vary and must be adhered to.

FINAL TRIP PAYMENT

A non-refundable, non-transferable final trip payment per traveler is due no later than two months (30 days) prior to the trip departure date. The final trip payment includes the total of all Beyond Uganda trip costs, round-trip airfare (if applicable), Project Fee (If applicable), less all deposits received.

FEES NOT INCLUDED IN YOUR TRIP COST

There are some mandatory fees that are not included in your trip cost and these include but are not limited to:
Passport Fees
Visa Fees
Any Mandatory Vaccine Fees
Airport Meals traveling to and from Uganda
Souvenirs
*All meals, transport and lodging “in country” are covered by your trip cost.

MISSION TEAM PROJECT COSTS

Your trip may or may not have a specific project associated with it but if so that will be discussed by your trip leader at your specific mission trip meetings. Special project costs will be determined at that time and funds will be raised, in addition to your individual mission trip cost, as a group to fund any project to be done in country by your specific team.

WHERE THE MONEY GOES:

PROGRAM SUPPORT FOR IN COUNTRY STAFF PREPARATION: includes added security and additional food for tea/snacks and local meals for team: $250.00

PAYMENT INFORMATION/GENERAL INFORMATION

Payments may be made by Paypal or Credit Card on the Beyond Uganda website at www.beyonduganda.org. Make sure and put the traveler name and trip month/year in the check out memo line to ensure it is credited properly. Once those funds are received they are the property of Beyond Uganda and used as needed to proper coordination and facilitation of the mission trip. If for any reason the traveler does not fulfill the trip, the donations are non-refundable pursuant to satisfy tax requirement stipulations.

Payments may be made by check to Beyond Uganda. When paying by check, please include a note or on the memo line the name of traveler the funds are being designated toward (example: CW15 John Smith) and the month of the trip since there are several per year.  If these instructions are not followed, we cannot guarantee funds will be designated to your trip. It is very important that all items be accurately completed for the funds to be designated appropriately.

**Although Beyond Uganda will make every effort to honor the contribution designation of the donor, contributions become the property of Beyond Uganda, and Beyond Uganda has the discretion to determine how best to use contributions to carry out its functions and purposes. Such control of the funds by Beyond Uganda is required to ensure that they will be used to carry out its functions and purposes, and to ensure donor’s contributions satisfy requirements for tax-deductibility.
